Everything you need to know about upDoc

Send a photo or PDF of any receipt, fuel slip, or invoice to the upDoc WhatsApp number. +27 82 052 7312. It appears in your dashboard review inbox automatically. The WhatsApp number is always visible in the top navigation, or you can tap the WhatsApp button in the Help section.

You (or any of your team members) send a photo of a document to the upDoc WhatsApp number. upDoc uses OCR and AI to extract the supplier, date, reference, line items and totals. You review the extracted data in your dashboard and publish it as a draft bill in Zoho Books.

Anyone whose WhatsApp number is added to your company. Account owners can add unlimited team members each at no extra cost. Go to Team Members to add people. Each person can be given access to one or more companies: the companies they are allowed to send documents to are selected on the Profile (owners) and Team pages.

No. upDoc works entirely through the WhatsApp app already on your phone. Just save the upDoc number to your contacts and send photos or PDFs as you would in any other chat.

Receipts, fuel slips, supplier invoices, credit notes, quotes and bills. If you can photograph it, upDoc can usually read it including handwritten totals on most modern scanners.

Yes. Send a WhatsApp voice note to the upDoc number describing the quote - the customer, the items, quantities and prices. upDoc transcribes it, drafts the quote, and sends a short summary back on WhatsApp. Reply YES to create it in Zoho Books and receive the quote PDF back on WhatsApp. You can also open the dashboard to review or edit the customer and line items before confirming. Voice Quotes is a separate paid feature at R29/month.

The dashboard lists documents from all the companies you can access, with a Company column so you always know where each document belongs. Click any column heading to sort the list (date, amount, company, status and more), use the search box to find a document, or filter by company, type and status. Use the Rename button (✎) on any document to give it a friendlier name, and the Delete button (🗑) to remove it permanently.

Click Browse next to the vendor field on the review page to pick a supplier from your Zoho Books contacts, or search for it by name. If the supplier does not exist yet, you can add a new vendor directly from the review page before publishing.

Documents are automatically assigned to the first active company your WhatsApp number can access. You can change this before publishing: the review page has a Company selector, and the document will be moved and published to the company you choose.

Published documents are created as draft bills in your connected Zoho Books organisation. The original photo or PDF is attached to the bill so your records stay audit-ready.

Each feature is R29 per company per month. Choose Receipts via WhatsApp or Voice Quotes - or add both at R29 each. You get a 30-day free trial when you sign up no card needed, and the trial covers both features. When you add a new company it starts unlocked-free: just visit Billing and click Subscribe to activate a feature. Unlimited team members and unlimited documents are included. You can cancel anytime.

Yes. Each feature you subscribe to is billed at R29 per company per month, and the 30-day trial covers everything. Documents from all your companies appear in one dashboard list with a Company column and filter. Manage billing under Billing, and control who can send to which company on the Profile and Team Members pages.

Go to Settings and click "Connect Zoho Books". You will be asked to authorise upDoc to access your Zoho Books organisation.

You can edit the extracted data before publishing. If a document fails to parse, check that the photo is in focus and the whole slip is visible, then resend it. For anything else, contact our support team and we will help.
